All sickness absence is recorded on CoreHR.
Accurate and timely notification of sickness absence start and return dates will help avoid the incorrect calculation of salary.
Fit Notes
Please be aware of the following:
- Input all fit notes to CoreHR. Failure to do so may result in your employee being asked for them and could result in pay being deducted. It should also be ensured that the date of cover of the first fit note is no later than the day after the end of the period of self-certification, and also that there are no gaps between one fit note ending and the next one starting. If there any gaps as mentioned above then the employee should be asked to obtain the necessary certification.
- The original fit note should be returned to the employee for them to keep (as it belongs to them and they may need the fit note in respect of any claim for Employment and Support Allowance).
- A copy of the fit note should be sent to HR Service Centre to be kept in the employee’s personal file. If possible please scan the fit note and e-mail it to AskHR@aberdeencity.gov.uk
- The employee’s payroll number should be added to the fit note before being sent.

Extension of Occupational Sick Pay
The Council recognises the difficulties that individuals and their families may encounter financially if their occupational sick pay ceases due to their length of time off sick due to being in the terminal phase of an illness (definition of ‘being in the terminal phase of an illness’ – generally regarded as the last 6 months to 1 year of life). These guidelines apply to all employees of the Council, including Teaching staff, who have a minimum of 5 years’ continuous service and have been diagnosed as being in the terminal phase of an illness.
