Flexi-time and TOIL on CoreHR:

Flexi-time recording and Flexi leave is now available on CoreHR and any flexitime carried over from the last flexi period has been added as a Flexitime balance.  TOIL balances from YourHR have also been transferred to CoreHR. 

Flexi and TOIL Leave are now available to select alongside Annual Leave and Special Leave to book on CoreHR by clicking on the “Leave” tab then the “Book Time Off” option.

When recording TOIL and flexi times on the same date, please input your flexi times and calculate these before inputting any TOIL.

Frequently Asked Questions (FAQ's):

Yes – Flexi and TOIL Leave are now available to select alongside Annual Leave and Special Leave to book on CoreHR by clicking on the “Leave” tab then the “Book Time Off” option.

Toil and Flexi Leave booking and viewing your balances are available via the leave tab on your CoreHR employee dashboard.  Please see the guidance above for further information. 

If your leave is for a date on or after 9 August 21, then yes, you should rebook this leave on CoreHR. 

Any leave booked for dates before this do not need to be resubmitted.

Unfortunately, the current Coreless Flexi leave provisions cannot be configured on CoreHR.

You should agree any Coreless Flexi leave with your manager directly and enter the times you actually work that day into CoreHR as normal.  A Coretime Infringement time will be seen on your timesheet and you can go to the menu button (3 dots) on the right to add comments to note that this was due to Coreless Flexi.

The figure is in hours and minutes, for example if you have 2.45 on your balance, this is 2 hours and 45 minutes (not 2.75 hours).

Under “My Requests”, you should see the request you submitted.  Click on the menu button () and select cancel.  You can then resubmit your leave request.   

Your manager will be able to amend/delete any wrongly inputted times on your behalf.

If your manager has not set up a delegation to allow someone else to authorise leave on their behalf, the request will remain unapproved until they approve it on their return.  Their manager can request access to their team by emailing AskHR if necessary. 

Where a manager has left the organisation, CoreHR will automatically divert your approvals to your manager’s manager until your new manager is in post. 

No, you do not need to record anything additional when you are off on any type of leave.  Any leave booked or recorded on your behalf will show on the top part of the timesheet.

You should note however, that leave requests will only show after they have been approved.  If you input leave or it is approved after the date it was taken, you may need to click on Calculate Attendance to resolve any unexplained absence.

Yes.  You can view your standard shift pattern on the Time tab in CoreHR – if your standard working hours look incorrect, please email AskHR with the correct pattern and they will amend this.

CoreHR will only allow you to book leave on normal working days.  You can view your standard shift pattern on the Time tab in CoreHR – if your standard working hours/days look incorrect, please email AskHR with the correct pattern and they will amend this. 

Flexi and TOIL balances were extracted from Open Options and YourHR and uploaded into CoreHR.  If any TOIL recorded or taken had not yet been approved, your Open Options record was incorrect or leave hadn’t been input, this might affect the balances that were uploaded.

Please ask your manager to email AskHR@aberdeencity.gov.uk and request to amend the appropriate balance to the correct amount.

No, the clocking machines have been set up to work with Open Options, but are not currently connected to CoreHR.  You should enter clocking in/out times manually in CoreHR.

The flexi periods are a 4-week period that flexi-time is recorded against.  There is a restriction on how many hours can be carried forward from one period to the next – for most people this amount is 15 hours.

Yes, if you enter times in the wrong order, this will cause an infringement.

For example, entering your start and finish times, then clicking save then entering your lunch break later will cause an infringement which will need to be corrected by your manager.
